2. What personal data we collect
We only collect personal data that you voluntarily provide to us, through the following channels:
- Booking request form — first name, last name, date of birth, street address, postal code, city, country, phone number, and email address.
- Contact form — name, email address, and message content.
- Direct email or phone enquiries — name, email address, phone number, and any information you choose to share.
- Anonymous analytics — page views, referrer, country (from truncated IP), device type, browser, language preference, and time on page. Legal basis: legitimate interest (Art. 6(1)(f) GDPR). Data automatically anonymized after 90 days.
- Booking via Natuurhuisje.be — bookings placed through natuurhuisje.be are governed by their own privacy policy. We receive the guest details they share with us as the property owner.

We do not use your data for marketing, profiling, or automated decision-making.
4. How long we keep your data
- Enquiries that did not lead to a booking — deleted within 6 months.
- Booking records and correspondence — kept for 7 years to comply with Belgian accounting and tax law, then permanently deleted.
5. Who we share your data with
We do not sell, rent, or share your personal data with third parties for commercial purposes. We may share data only in the following limited circumstances:
- Natuurhuisje.be — if your booking was made through their platform, they process your data as a separate controller.
- Authorities — if required by Belgian law (e.g. tourist tax registration).
Where we use third-party service providers, appropriate data processing agreements are in place.
6. Your rights
Under the GDPR you have the right to:
- Access — request a copy of the personal data we hold about you.
- Rectification — ask us to correct inaccurate data.
- Erasure — request deletion of your data (where no legal obligation requires us to retain it).
- Restriction — ask us to limit how we process your data.
- Objection — object to processing based on legitimate interest.
- Portability — receive your data in a structured, machine-readable format.

If you believe your rights have been violated, you have the right to lodge a complaint with the Belgian Data Protection Authority (dataprotectionauthority.be).

We take reasonable technical and organisational measures to protect your personal data against loss, misuse, and unauthorised access. The website is served over HTTPS. Booking data is stored on a private server and not exposed publicly.

1. Parties
These terms apply to all rental agreements between Marc en Marleen Dhondt-Claus ("Owner"), Chemin de la Fontaine Aux Cerfs 334, 5670 Viroinval, Belgium, and the person who makes a booking ("Guest").
2. The property
Chalet Woodpecker Viroinval is a holiday chalet located at Chemin de la Fontaine Aux Cerfs 334, 5670 Viroinval, Belgium. The chalet accommodates a maximum of 6 guests.
3. Booking and confirmation
- A booking is confirmed once the Owner sends a written confirmation (by email) and the Guest pays the required deposit.
- The deposit is 30% of the total rental price, due within 5 days of the booking confirmation.
- The remaining balance is due 4 weeks before the check-in date. For bookings made less than 4 weeks in advance, the full amount is due immediately.
- Bookings made through Natuurhuisje.be are subject to their platform terms in addition to these terms.
4. Prices and additional costs
- Rental price: as quoted at the time of booking.
- Cleaning fee: see rent agreement per stay (mandatory, non-refundable).
- Electricity: see rent agreement.
- Bed linen & towels: see rent agreement per set (optional, or bring your own).
- Tourist tax: tourist tax is included in your stay.
- All prices include Belgian VAT where applicable.
5. Cancellation policy

The right of withdrawal (14-day free cancellation) as described in EU consumer law does not apply to vacation rental agreements.
We strongly recommend taking out travel cancellation insurance.
6. Check-in and check-out
- Check-in: from see rent agreement on the arrival date.
- Check-out: by see rent agreement on the departure date.
- Early check-in or late check-out may be arranged subject to availability and at the Owner's discretion.
- The Guest will receive access instructions by email prior to arrival.
7. Guest responsibilities
- The chalet may not be occupied by more than 6 persons without prior written consent.
- The Guest is responsible for the behaviour of all persons in their party.
- Smoking is not permitted inside the chalet.
- The Guest must leave the chalet in a clean and tidy condition. The kitchen and barbecue must be cleaned before departure.
- Noise must be kept to a reasonable level, especially between 22:00 and 08:00, out of respect for neighbours.
8. Damage and security deposit
- A security deposit of see rent agreement is due on or before check-in day.
- The deposit will be returned within 7 days after check-out, less any costs for damage, excessive cleaning, or missing items.
- The Guest must report any damage or breakage to the Owner immediately upon discovery.
9. Owner's liability
- The Owner accepts no liability for personal injury, loss, or damage to guests' personal property during the rental period, except where caused by the Owner's gross negligence.
- The Owner is not liable for interruptions to utilities (electricity, water, internet) due to causes beyond their control.
- The Owner reserves the right to cancel a booking in exceptional circumstances (e.g. fire, natural disaster). In such cases a full refund will be provided.
10. Governing law and disputes
These terms are governed by Belgian law. Any dispute that cannot be resolved amicably shall be submitted to the competent courts of the judicial district of Namur, Belgium.
